Activate a service user for iManage On-Prem or iManage Work

Create a Service User

  1. Go to your iManage instance.
  2. Create a new User e.g. . We advise create an internal user. 
    (More info about how to add users in iManage, you can find on iManage Help). If you’re not familiar with this, your IT-partner definitely has experience with this. 

Important: you should have an iManage admin role to be able to add a user. The newly created user doesn't need to be an admin in iManage, but the role it's assigned should have at least the following rights:

In case it is required that Lexis® Create DMS can take over the permissions for iManage, the service account needs additional rights in iManage.

    • iManage 10.4 or higher: Assign the service user the "Tier 1 Control Center access". It is possible in iManage 10.4 or higher to give this right to a non-admin user

    • iManage 10.2-10.3: in iManage versions lower than 10.4, this "Tier 1 Control Center access" can only be assigned to an admin user. So the service user needs to be an admin and have the "Tier 1 Control Center access" right assigned. Once the environment has been upgraded to Cloud or 10.4, we can change this again.

Later this user account will be connected to Lexis® Create DMS. Therefore all files this account has access to, Lexis® Create DMS will also have access to.

FAQ

Can the user be an internal user in iManage?

Yes, the service user can be an internal user in iManage, this user will have by default access to all 'public' workspaces.  

Can the user be an external user in iManage? 

Yes, the service user can be an external user in iManage but you will need to give it explicit access to the selected workspaces.

Important to note is that when you want to mirror permissions, you'll need a second service user with Tier 1 control center access since an external user cannot be assigned Tier 1 control center access. If the service user is internal, you can use the same service user for both data and permissions. 

Can the user be a virtual user?

Yes, the user can be a virtual user, as long as the user can login to iManage that will work for the Lexis® Create DMS integration. 

Can the user have 2FA setup?

Yes, this shouldn't matter for the Lexis® Create DMS integration. 

We suggest to use the following flow to avoid any redirect issues:

  1. Log out of iManage on the browser you're working on
  2. Log in to iManage with the service user
  3. Log into the Lexis® Create DMS dashboard as an admin (doesn't matter which account, it doesn't have to be the same as the service account)
  4. Go to integrations and click "Connect" on the integration that has already been configured (See Integration Guide for the steps to take)

This way, the active browser session for iManage will be recognised and the integration set up will be complete.
