Activate a service user NetDocuments
Create a Service User
- Go to https://www.netdocuments.com
- Create a new user account in NetDocuments e.g. LexisCreateDMS@company.com. (more info on how to add users in NetDocuments you can find on NetDocuments support page). If you’re not familiar with this, your IT partner definitely has experience with this.
Important: you should have an NetDocuments admin role to be able to add a user. The newly created user doesn't need to be an admin in NetDocuments.
Permissions mirroring
Lexis® Create DMS is able to mirror permissions set to the Cabinet or Workspace level. Typically there will be one or more Cabinets containing client info such as contracts. Next to that there might be a cabinet containing user's personal workspaces. Lexis® Create DMS expects the permissions to the workspaces to be defined on Workspace level.
In case exceptions are made on the folder or file level, Lexis® Create DMS will not take those into account.
In case it is required that Lexis® Create DMS can take over the permissions for NetDocuments, the service account needs additional rights in NetDocuments. See this article for more information on the use cases for mirroring permissions.
In NetDocuments, the user needs to be a full repository member (not admin) - see screenshot.
The reason is that we need to pull in a list of all users to start from and this is not possible with a more restricted user.

Note: Lexis® Create DMS will only require READ access. The token that is assigned to the Lexis® Create DMS integration, will only be able to request READ actions to the API, so even though the service user might have more elaborated rights, the integration will only be able to make READ requests to the API and therefore, not make any changes into the NetDocuments instance.

FAQ
Can the user have 2FA setup?
Yes, this shouldn't matter for the Lexis® Create DMS integration.
We suggest to use the following flow to avoid any redirect issues:
- Log out of Netdocuments on the browser you're working on
- Log in to Netdocuments with the service user
- Log into the Lexis® Create DMS dashboard as an admin (doesn't matter which account, it doesn't have to be the same as the service account)
- Go to integrations and click "Connect to Netdocuments".
This way, the active browser session for Netdocuments will be recognised and the integration set up will be complete.
