Decide on what you want to synchronize into Lexis® Create DMS
Note: Lexis® Create DMS advises to use a Team Drive instead of a My Drive for storing the contracts. When using a Team drive, all members of the team can upload files and Lexis® Create DMS will be able to pick them up. When using a My Drive, only files uploaded by the Service user or user setting up the connection, will be picked up by Lexis® Create DMS.
Set Google Drive permissions
There are 2 ways to set your permissions:
- If you’d like to exclude only a few folders out of Lexis® Create DMS:
Add this new user to the main Google Drive of your firm. This will make sure the newly created service account is allowed to access every folder within your firms drive. If you prefer to exclude some folders out of Lexis® Create DMS you can open the specific folder you’d like to exclude and remove this user out of this specific folder. - If you’d like to include only a few folders within Lexis® Create DMS;
Don’t add the new user to your main Google Drive but directly go to the folder you’d like to give Lexis® Create DMS access to. Here you can add the newly created user to this folder and therefore Lexis® Create DMS will only be able to access this folder. Subsequently, you can do the same for the other folders out of which you want to insert contracts in Lexis® Create DMS.
Integration Settings
Integration settings allow you to include or exclude certain folders or documents because they are confidential or redundant. Think about HR contracts, management folder, invoices, etc.
Want to include or exclude certain documents? Contact your customer success manager and share below information:
- Discuss internally which folders you want to include or exclude
- Provide us with a list of the name and level (e.g. folder) of the documents you want to exclude/include. Make sure to avoid typos!
- Add a screenshot from your Google Drive
